The 18th Joint European Thermodynamics Conference JETC 2025 (hereinafter the ‘Event’) is organised by the
Mathematical Institute of the Serbian Academy of Sciences and Arts (hereinafter the ‘Organzier’) on 26–30 May 2025, in Belgrade, Serbia.
Impala travel (hereinafter the ‘Agency’) supports the organiser in the organization of the event, providing the following services: registration management, exhibition and sponsorship management, event logistics, hotel and transfer bookings and additional services.

Upon completion of your online registration, you will receive an email from the Agency, with either the instructions for a secure credit payment (a surcharge of 3.9% applies) or an invoice for a wire bank transfer.

• The registration fee includes access to the scientific sessions and exhibition, welcome program, coffee breaks, lunches, and the conference materials (including an e-book of extended abstracts).
• Participants can register and pay the Event fee if they wish to attend the Event without an oral presentation or poster.
• Students must attach a reference letter or an image of a valid student ID card to complete registration.
Methods of Payment
All costs referred to are in EUR (€). All payments must be made in EUR (€) and must be received prior to the Event. If one of these cannot be supplied, the delegate will be refused permission to attend the meeting.
The online registration site is a secured site. Major credit cards such as VISA, EuroCard/MasterCard are accepted. American Express will not be accepted. Payments by wire bank transfer are accepted until 15th May 2025.

Modification & Cancelation of the Event
The Organiser reserves the right to modify the Event programme, which is published as an indication only. In the event of cancellation of the Event, at any time, as a result of any event of Force Majeure or for other reasons that are beyond the control of the Organiser, the registration fee shall be refunded minus €50.00 admin fee (excl. applicable VAT and applicable transfer costs). The Organiser shall not be held liable for any other costs or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Additional services are ordered via the Agency in direct agreement between the Agency and participants.
Use of Material
Without any prior consent from the Organiser, a participant must not: reproduce, copy or translate the Event materials; create derivative works from the Event materials; modify the Event materials; commercially exploit the Event materials.
Cancellation of Registration
In the event of cancellation, a written notification should be sent to the Agency by fax: + 381 11 3096428 or email: jetc2025@gmail.com.
The following cancellation fees will apply:
• From 15th April to 15th May 2025: 50% refund
• From 15th May 2025 or if the participant fails to attend: no refund
All refunds will be processed and issued within 30 days after the meeting.
Name substitutions are possible at an extra charge of €50.00.
Liability
In the case of government intervention or regulation, military activity, strikes or any other circumstances that make it impossible or inadvisable for the Event to take place at the time and place provided, the participant shall waive any claim for damages or compensation except the amount paid for registration after deduction of actual expenses incurred in connection with the meeting and there shall be no future liability on the part of either party.
Insurance
Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Event and book your travel, you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Event, or through cancellation of the Event, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Serbia, failure to utilise tours or pre-booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Event organizers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.
Event Rules and Regulations
Whilst participating in the Event, you are required to comply with any policies or directions (such as, but not limited to, security, health, and safety regulations) in force at the time of the Event, given by the Organiser or Agency or any other relevant third party, including the person responsible for the premises where the Event takes place or any competent authority.
Data Protection & Privacy policy
By registering to the Event, you agree to have your personal data processes as described in this notice.
The Organiser and the Agency (hereinafter the ‘Secretariat’) are independent controllers. The Secretariat agrees to protect the confidentiality of personal data.
Except for the purposes of a legal investigation, the Secretariat will not allow access to personal data to other parties.
If email correspondence contains personal details that may identify the participant, be it an email message with a question or a comment or a form the participant is emailing, the Secretariat uses the data only to meet the participants' demands.
The Secretariat reserves the right to send the participant’s email to other employees or suppliers who can better respond to the participant’s questions/requests. The Secretariat reserves this right in order to protect the interests of the participant.
The Secretariat reserves the right to keep and archive personal details submitted by a participant, as well as their website preferences, in order to make contact with the participants, handle payments, respond to enquiries, complaints and for quality purposes.
Pictures will be taken during the event. These pictures will be used by the Event alone and will be accessible to the participants of the event. Only pictures of overall views will be included on public platforms such as the Event website, newsletters and social media. If you wish to remove a picture of yourself, you can always contact the Secretariat.
